Supplier purchases & bills
Record purchases, replenish existing products, and track supplier payments.
Record a supplier bill
- 1
Open Purchases → Create Bill.
Select the supplier, or use New Supplier to create the contact first.
- 2
Enter the bill dates.
Choose Bill Date and Due Date to match the supplier document.
- 3
Tap Add Item.
Select an existing Product when this purchase replenishes stock. Create New Product if it has not been added before.
- 4
Review the line details.
Enter the Description, select the appropriate GL Account, and set Qty and Unit Cost. Tap Add to place the line on the bill.
- 5
Check the full bill.
Repeat for other items, remove mistakes, and compare the total with the supplier’s bill.
- 6
Save.
The saved bill records a payable and linked product quantities are added to stock. Open the bill and product details to verify the results.
Record the supplier payment
- 1
Check the actual payment.
Confirm the amount has been paid to the supplier through the account you will select.
- 2
Open Bill Details.
Choose Mark as Paid. Add a bank account first if the app asks for one.
- 3
Choose the bank.
Select the account used to pay the supplier, then choose Confirm Payment.
- 4
Verify.
Check the bill status and the bank’s transaction history. Daily sending limits configured for that account can prevent a payment record.
